Refund Policy

This policy explains when refunds apply, how they are calculated, and how they are paid for bookings made with Urban Trail Pvt. Ltd.
01General principle
Refunds are applicable only if a booking is cancelled within the valid cancellation window as per the specific product's policy (Domestic Holiday, International Holiday, Flight, or Visa). If a booking is non-refundable by nature — for example peak season bookings or deal fares — no refund will be processed.
02Processing timeline
Approved refunds are typically processed within 10 to 20 working days from the date of cancellation confirmation. The time taken for the amount to reflect in your account depends on your bank's processing speed; we are not liable for delays caused by banking intermediaries.
03Mode of refund
Refunds are generally processed to the original method of payment (credit card, debit card or bank account) used during the booking. Under no circumstances will refunds be issued in cash, or via personal wallets or UPI to a different number.
04Deductions & non-refundable components
Before calculating the refundable amount, the following charges will be deducted:
- Transaction fees — payment gateway charges, convenience fees and banking surcharges are 100% non-refundable.
- Service charges — Urban Trail Pvt. Ltd.'s professional service fees for planning and booking are non-refundable.
- Visa fees — visa application fees are non-refundable once paid to the Embassy.
- GST — Goods & Services Tax collected and deposited to the government is non-refundable.
05Product-specific policies
- Holiday packages (Domestic & International) — refunds are calculated based on the specific cancellation policy attached to your invoice or voucher. Third-party costs, such as non-refundable hotel rooms, are deducted before any payout.
- Flight tickets — refunds are subject to the airline's policy plus the Urban Trail Pvt. Ltd. service fee. If the airline declares a ticket “Non-Refundable”, only the tax component (if applicable by airline rule) may be refunded, minus our service charge.
- Visa services — visa fees and service charges are non-refundable if the application is rejected, delayed or withdrawn.
06Force majeure
In the event of cancellations due to natural disasters, pandemics, political unrest or government restrictions, Urban Trail Pvt. Ltd. will adhere to the refund policies of the respective airlines, hotels and ground partners.
If vendors offer a credit note or future travel voucher instead of a cash refund, we will pass the same benefit on to you. A cash refund will not be possible in such scenarios.
07Jurisdiction
Any disputes regarding refunds shall be subject to the exclusive jurisdiction of the courts of Kolkata, West Bengal.
